Cancellation Policy

1.) Booking Process Advance Booking: All bookings should be made at least [24 hours] in advance. Confirmation: A confirmation email will be sent once your booking is secured. Booking Form: A completed form is required before the shoot, detailing property and service information. 2. Payment Terms The balance is due after the shoot. Payment Methods: Payments via [credit card, PayPal, etc.]. Additional Charges: Any extra services or changes to the original booking may incur additional fees. 3. Rescheduling & Cancellations Rescheduling: Contact us at least [24 hours] in advance if you need to reschedule. Cancellations: Cancellations made within [24 hours] will incur a [50%] fee. Cancellations within [12 hours] will be charged the full service fee. No-Show: A no-show without prior notice will be charged the full service fee. 4. On-Site Requirements Access: Full access to the property is required. Restricted areas must be communicated beforehand. Client Presence: You don’t need to be on-site, but a contact person must be available. Setup Time: Please allow [15-30 minutes] for equipment setup. 5. Weather Policy (Outdoor Shoots) Weather: If weather prevents an outdoor shoot (e.g., heavy rain or wind), we will reschedule at no extra charge. Decision Timing: A weather decision will be made [2 hours] before the shoot. 6. Media Delivery Turnaround: Media is typically delivered within [1-5 business days]. Revisions: Minor revisions can be requested within [7 days] of delivery. Major changes will incur additional fees. 7. Copyright & Usage Rights Ownership: All media remains the property of Rocky Top Media CO. You are granted a non-exclusive license for marketing purposes. Extended Usage: Use of media beyond the agreed-upon scope requires approval and may incur additional fees. 8. Liability & Insurance Liability: Rocky Top Media CO is not liable for damages to property or persons during the shoot. Clients must ensure a safe environment. 9. Privacy Confidentiality: Client information is confidential and used only for service delivery. Media Sharing: With your permission, we may feature your media in our portfolio.
